PAIA Manual

This manual is published in terms of the Promotion of Access to Information Act, 2000 (Act 2 of 2000) ("PAIA"). It explains what records Square 1 (Pty) Ltd ("SQR1") holds and how you can request access to them.

1. Introduction and purpose

PAIA gives effect to the constitutional right of access to information. This manual is a summary guide to help anyone who wishes to request access to records held by SQR1. It sets out who we are, what records we hold, and the process for requesting them.

3. The Information Regulator

You may submit complaints relating to PAIA to the Information Regulator:

4. Categories of records held

SQR1 holds records in the following broad categories:

  • Client records: enquiries, quotes, project documentation, correspondence and deliverables.
  • Financial records: invoices, payments, accounting and tax records.
  • Operational records: supplier and service-provider records, internal documents and project management material.
  • Statutory records: company registration documents and records we are required by law to keep.

Some records may be subject to the grounds for refusal set out below, or to other laws.

5. How to request access

To request access to a record, submit a written request to the Information Officer at hello@sqr1.co.za. Where prescribed, requests should be made on the official PAIA request form (Form 02). Your request should include:

  • Sufficient detail to identify the record requested.
  • Your contact details and the form of access you require.
  • The right you are seeking to exercise or protect, and why the record is needed for that purpose (for requests to a private body).

6. Prescribed fees

PAIA allows a request fee and an access fee to be charged in certain circumstances, calculated in line with the prescribed regulations. We will advise you of any applicable fees before processing your request, and access may be subject to payment of those fees.

7. Grounds for refusal

Access to a record may be refused on the grounds set out in PAIA. These include, among others, the mandatory protection of the privacy of a third party, the commercial information of a third party, confidential information, and information that is legally privileged. Where access is refused, we will give reasons.

8. Remedies

If your request is refused or you are dissatisfied with how it was handled, you may lodge a complaint with the Information Regulator at the address above, or approach a court for appropriate relief, in line with PAIA.
